Multi-user System

Product details have been generalized to maintain confidentiality while preserving the overall design approach.
The Problem
Interview preparation for students is often unstructured and inconsistent. Students don't know what to expect, don't get useful feedback, and have no way to track their progress. Consultants, on the other hand, have no scalable way to run mock interviews across multiple students without significant manual effort.
Three core problems shaped the product direction:

The Goal
To build a system where consultants can run standardized, AI-assisted mock interviews at scale, and students get a guided, low-anxiety experience with real feedback at the end.
My Role
Since this was an MVP built under tight timelines, the focus was on:
Designing clear workflows rather than exploratory research
Translating product requirements into intuitive user journeys
Iterating closely with product and engineering teams during development
My workflow: requirements → user flows → wireframes → visual design → iteration during development.
Information Architecture
The platform is structured around two distinct user roles with separate navigation and goals. Consultants and Students
Consultant navigation is built around setup, management, and review — creating templates, scheduling interviews, and publishing feedback.
The student experience is intentionally minimal — focused purely on preparation, completing the interview, and accessing feedback afterward.

The Experience
Consultant Dashboard
Overview of students, interviews, and pending actions
Quick actions for creating templates and scheduling interviews
Visibility into completed and pending interviews

2. Student Management
Consultants can add and manage students in one place, with quick access to profiles, interview setup, and progress tracking.
Add students manually or invite via email
Search and filter student lists
Dedicated student profile showing interviews, feedback, and resources

Interview Services & Templates
Consultants can create and manage structured interview templates that can be reused across multiple students and interview sessions
Create structured interview templates (questions, roles, industries)
Manage resources and question sets
Reuse templates across multiple students

Interview Setup Flow
Interview setup was designed as a guided, step-by-step flow to reduce errors and ensure consistency while scheduling interviews.
Calendar-based interview scheduling
Assign students, templates, and time slots
Automated notifications to reduce manual follow-ups

Student Experience
The student dashboard provides a clear, guided view of upcoming interviews, progress, and feedback— helping students stay prepared and confident.
Student Dashboard
Upcoming interviews at a glance
Interview status and history
Access to preparation resources and feedback

Interview Flow
Step-by-step interview flow designed to set expectations, guide students during the interview, and clearly close the experience.”

Post-Interview Feedback
Post-interview feedback was designed to give students clear, actionable insights while helping consultants review interviews efficiently.

Key Design Decisions

Outcome
Launched as a live standalone product, also integrated into the broader CRM platform.

Key Learnings
This project pushed me to think carefully about how AI fits into a high-stakes student experience; where anxiety is real and trust matters. The Prepare screen, the consultant-first feedback review, and the clear submission confirmation were all decisions rooted in that thinking.
Designing two completely separate user journeys within one product also taught me how important it is to define role boundaries early in the IA; without that, both experiences would have bled into each other.
If I revisited this, I'd add lightweight analytics for consultants to track student progress across multiple interviews over time, right now each interview is somewhat isolated.
